Defence Bank serves ADF personnel, their families, and the broader defence industry, a member base that is frequently deployed or relocated and expects fully digital service. Paper-heavy applications and extended approval windows were a poor fit for time-sensitive needs and remote access.
Origination and core banking ran on disconnected systems, which forced duplicate entry and reconciliation. Approval depended on manual processing rather than straight-through automation.
The approach
Deep Data Action integration and paperless decisioning
Defence Bank deployed Cloudcase with deep, real-time integration to Data Action (Phoenix), the first mutual bank to do so via integrated Data Action APIs. Lending data flows bidirectionally between origination and core, eliminating the re-key tax.
Applications run paperless end to end, with document upload, application tracking, and secure messaging built into the member experience. Policy is evaluated in real time during data entry, with execution completing in under three seconds on 99% of policy decisions.

The outcome
30-second paperless approvals for qualifying applications
Straight-through automation now returns paperless approvals in around thirty seconds for qualifying applications. Members on deployment or living overseas can apply, sign, and settle without paper or branch visits. Staff effort has shifted from routine processing to managing exceptions.
On a configuration-driven foundation, Defence Bank can keep iterating member experience and adopt further automation without replatforming.
